CoachKrew is built with student privacy in mind. We design the platform around responsible data handling, controlled access, and privacy principles reflected in laws such as FERPA and COPPA.
CoachKrew is operated by Bigham Technologies LLC.

2. Who This Page Is For
This page is intended for schools, athletic programs, clubs, coaches, parents and guardians, and student athletes who want a clear summary of how CoachKrew approaches student privacy.
It complements our Privacy Policy and Terms of Service and does not replace them. This page is informational. It is not a contract and does not certify legal compliance.
3. CoachKrew's Role
CoachKrew provides team-management technology and may process information about student athletes when schools, clubs, athletic programs, and other organizations use the platform.
Schools and organizations generally control the student information they submit and how their workspaces are administered. CoachKrew processes that information to provide, maintain, secure, and support the Service and as otherwise permitted by applicable agreements and law.
CoachKrew does not claim ownership of school-controlled records or other customer-submitted personal information or team content. CoachKrew retains its own obligations under applicable law and does not transfer those obligations entirely to schools, organizations, or coaches.
4. FERPA Considerations
FERPA governs covered educational institutions and may apply when schools use technology providers in connection with education-record information. Whether FERPA applies, and what disclosures are authorized, depends on the customer, the relationship, school policy, the information involved, and any applicable contractual terms.
Schools and organizations remain responsible for determining whether their use of CoachKrew is authorized under FERPA, institutional policy, consent requirements, or another applicable legal basis. This page does not determine FERPA status for every customer and does not state that CoachKrew is always a "school official" under FERPA.
Where CoachKrew receives FERPA-protected information under an applicable exception or other lawful authorization, use of that information should remain limited to the authorized institutional purpose and subject to appropriate controls. CoachKrew aims to support those responsibilities through role-based access, team-scoped workspaces, permissions, audience controls, and responsible data handling.
Not every athletic record stored in CoachKrew is automatically an education record. CoachKrew does not claim to be FERPA certified, does not guarantee FERPA compliance in every circumstance, and does not make a school or organization compliant merely by using the platform.
5. Children Under 13 and COPPA Considerations
COPPA can apply to online services that collect personal information from children under 13. CoachKrew is currently intended for users who are 13 years of age or older, and children under 13 may not currently create or activate CoachKrew accounts.
CoachKrew may use an age-screening step during athlete onboarding to determine whether a user is eligible to continue with account creation. CoachKrew may ask for a date of birth or other age information for this purpose. Where the product indicates that a date of birth is used only for age screening, CoachKrew does not retain the full date of birth after the age determination.
Users should provide accurate age information and should not attempt to circumvent CoachKrew's age requirements.
If CoachKrew introduces access for children under 13 in the future, CoachKrew will implement applicable notices, parental or guardian consent processes, and other safeguards before enabling such access and will update its applicable policies as appropriate.
If a parent, guardian, school, or organization believes CoachKrew has received personal information from a child under 13 contrary to these requirements, they may contact support@coachkrew.com so that CoachKrew can investigate and take appropriate action.
CoachKrew does not use student information for unrelated behavioral advertising or commercial profiling.
This section provides general information about CoachKrew's current age restrictions and approach to COPPA-related issues. It does not certify COPPA compliance or make a legal determination regarding the requirements applicable to every school, organization, or use of the Service.
6. Information Typically Handled
Depending on how a team uses CoachKrew, student-related information may include:
- Identity and contact information, such as name and email address.
- Team membership, sport, season, role, and permission information.
- Athlete profile information, such as grade, jersey number, position, height, and weight.
- Tags and groups used to organize athletes and control content audiences.
- Attendance and schedule information, including event or session locations entered by authorized users.
- Performance measurements and testing results.
- Playbooks, PDFs, images, and other assigned or uploaded resources.
- Depth charts and related athlete, position, assignment, and note information.
- Announcements, audience assignments, and reminders.
- Uploaded files and announcement images.
- Notification records, read status, delivery-related status, notification preferences, and push-notification tokens when notifications are enabled.
- Limited security, account, and operational information necessary to authenticate users, operate the Service, prevent abuse, troubleshoot issues, and provide support.
CoachKrew may process age information during athlete onboarding for eligibility screening. Where the product indicates that a full date of birth is used only for age screening, the full date of birth is not retained after the age determination.
The categories handled for a particular student depend on the features used by the applicable team and the information submitted by authorized users.
7. Authorized Use
Student information is intended to be used to:
- Operate team workspaces and roster membership.
- Schedule events and manage calendars.
- Manage attendance.
- Assign and provide resources such as playbooks and published depth charts.
- Deliver announcements, reminders, in-app notifications, and push notifications where enabled.
- Provide authorized team information and content to coaches, staff, and athletes.
- Track performance measurements and related team activity.
- Manage roles, permissions, groups, tags, and content audiences.
- Authenticate users and secure the platform.
- Troubleshoot and maintain the Service.
- Provide customer support.
- Meet applicable legal obligations.
CoachKrew does not use student information for unrelated targeted advertising or commercial profiling.
8. Access and Permissions
CoachKrew supports Head Coach, Assistant Coach, and Athlete roles within team workspaces.
Head Coaches generally manage team access and team administration. Assistant Coaches receive access based on assigned permissions.
Athletes receive a more limited view of team information and content made available to them, which may include schedules, announcements, playbooks and other resources, published depth charts, performance information, and their own profile information.
Visibility of student-related information may depend on team membership, assigned role, permissions, tags, groups, assigned audience, and assigned content.
Organizations and team administrators are responsible for inviting authorized users, assigning appropriate roles and permissions, and reviewing access when responsibilities change.
Users should protect their login credentials and should not share credentials with unauthorized persons.
9. Advertising and Sale of Student Information
CoachKrew does not sell student personal information.
CoachKrew does not rent student personal information.
CoachKrew does not use student personal information for targeted third-party advertising.
CoachKrew does not permit unrelated commercial exploitation of student information.
CoachKrew does not use student information for unrelated behavioral advertising or commercial profiling.
10. Data Minimization
Organizations, coaches, and other authorized users should provide only information reasonably necessary for authorized team use.
Do not use CoachKrew as a repository for medical diagnoses, treatment records, insurance records, government identification numbers, financial account information, emergency safeguarding reports, or similarly sensitive information unless CoachKrew later expressly supports those categories under appropriate safeguards and agreements.
Athletic performance information, height, weight, attendance, and other team-management information supported by CoachKrew should be limited to information reasonably necessary for the applicable team purpose.
11. Retention and Deletion
CoachKrew retains information while needed to provide the Service and as needed for security, dispute resolution, legal compliance, and legitimate operational purposes. CoachKrew does not currently publish a fixed retention schedule for every data category.
Removing an athlete from a team ends active roster membership but may not delete every related historical record. Archiving a season or team is not the same as permanent deletion.
Where available in the product, account-deletion and permanent team-deletion requests may begin a recovery or cancellation period before permanent deletion begins. During that period, access may be restricted and the request may be canceled according to the applicable product controls.
A Head Coach who owns a team may be required to resolve ownership of that team, including through available ownership-transfer or team-deletion controls, before permanent account deletion can proceed.
After permanent deletion begins, some backups, logs, transaction records, security records, or legally required information may remain for a limited period. CoachKrew does not promise immediate or comprehensive deletion of every record.
Schools, organizations, parents, guardians, or eligible students may submit appropriate retention or deletion requests to CoachKrew. CoachKrew may need to verify the requester's identity or authority, coordinate with the organization controlling the team workspace, and retain information where legally permitted or required.
Specific information about CoachKrew's deletion practices is also available in the Privacy Policy and applicable account-deletion information.
12. Parent and Guardian Requests
Parents and guardians with appropriate legal authority may contact CoachKrew with questions regarding personal information associated with their child or to request appropriate access, correction, or deletion.
CoachKrew may need to verify the requester's identity and authority before responding to a request.
Because some student information may be controlled by a school, athletic program, club, team, or other organization, CoachKrew may coordinate with the organization responsible for the applicable team workspace.
CoachKrew may not always be permitted or able to disclose, modify, or delete team-controlled records directly without consulting the controlling organization.
If a parent or guardian believes that a child under 13 has created or activated a CoachKrew account contrary to CoachKrew's age requirements, they should contact support@coachkrew.com.
13. School and Organization Responsibilities
Schools, coaches, athletic programs, clubs, and other organizations are responsible, as applicable, for:
- Determining their lawful authority to use the platform.
- Providing required notices.
- Obtaining required consent or authorization.
- Inviting only authorized users.
- Configuring roles and permissions appropriately.
- Limiting uploaded information to what is reasonably necessary.
- Reviewing access when staff or athlete responsibilities or membership change.
- Responding to parent and student requests within their control.
- Notifying CoachKrew or updating the workspace when access should end.
- Complying with applicable institutional, state, local, and other legal requirements.
CoachKrew retains its own responsibilities under applicable law and does not transfer all responsibility for student privacy to schools, organizations, or coaches.
14. Service Providers and Agreements
CoachKrew uses selected third-party service providers to operate the platform, including providers used for hosting, authentication, database and file storage, transactional email delivery, web subscription payment processing, and mobile push-notification delivery where configured.
A current list of service providers is available on our Subprocessors page.
The information processed by each provider depends on the service being provided and the features in use. Use of a service provider does not mean that every student record is sent to every provider.
Schools or organizations that require a data privacy agreement, data-processing addendum, security questionnaire, procurement review, or similar documentation may contact CoachKrew at support@coachkrew.com.
A standard data-processing agreement is not automatically incorporated into this page unless CoachKrew expressly agrees otherwise.
15. Security
CoachKrew uses administrative, technical, and organizational measures appropriate to the nature of the Service, including authenticated access, role-based authorization, team-scoped permissions and access controls, encryption in transit through HTTPS/TLS, provider-managed infrastructure protections, and other security measures where implemented.
No method of transmission or storage is completely secure. CoachKrew cannot guarantee absolute security of information.
